Venue Mapping Overlays
Venue Mapping Overlays is a premium add-on feature that overlays venue site plans and floor plans directly onto Google Maps, maintaining GPS accuracy while adding venue context. This eliminates the disconnect between actual venue layouts and standard map views, enabling faster, more accurate incident location reporting, and thus faster and more accurate incident response and operational planning.
The key benefits of this feature are:
- Enhanced Situational Awareness: Gives teams a clear view of the venue during any incident. It helps staff easily understand where an issue is happening in relation to the actual layout they know.
- Improved Operational Accuracy: With accurate mapping, teams can create zones and areas that match real venue features such as exits, corridors, and rooms. This removes the need for guesswork and ensures operations are based on the true layout of the venue.
- Streamlined Emergency Response: During emergencies, teams quickly see the closest exits and emergency routes. The clear map view helps identify where incidents are happening in relation to key infrastructure, improving coordination between control room staff and field teams.
This feature is ideal for large and complex venues such as stadiums, arenas, and convention centers. It’s especially useful for multi-level facilities, venues hosting large events with over 10,000 people, and organizations with strict safety requirements.

Risk Assessment and Mitigation: Enhancing WeTrack’s Risk Workflows for Event-Based Risk Management
WeTrack's enhanced Risk Assessment workflow automates the creation and tracking of mitigation jobs from identified risks, replacing manual processes with intelligent automation. This delivers regulatory compliance (Australian regulations, UK Martyn's Law) while making events safer.
Previously, all risks, whether ongoing business/organizational risks linked to projects or event-based, were grouped together on the risks page and related to risk actions
Now, there are two types of risks:
- Ongoing Organizational Risks: These are business risks or project risks that are used alongside the Planning module. These will still be found alongside Issues and Opportunities on the Risks page and will use risk actions to manage mitigation measures.
- Template Risks: Template risks are used on Risk Profiles and Risk Assessments to identify applicable risks; Risk Profile and Risk Assessments will now only use Template Risks.
- Link Template Risks to Event Type to easily surface relevant risks when creating a risk assessment for an event with that type.
- Link Template Risks to Job Categories to allow for automatic adding and generating of jobs whenever these template risks are used on a risk assessment.
- Link Template Risks to Incident Categories to allow for future analytics of how frequently an incident still occurs, despite having mitigated it.
- Risk Profile Questions can be linked to Template Risks (just as they could be linked to Master Risks previously), allowing analysis and understanding of how often this risk occurs.
During the release we will a script to separate all existing risks into Organizational and Template risks. Any risk previously used in a Risk Assessment will be classified as a Template Risk.
- Existing links between incident categories and template risks will be preserved.
- Job category links will not carry over and must be re-established manually.
- Existing links between risk profile questions and risks will be preserved.

Risk Assessment Report PDFs
In addition to these enhancements, the PDF generated upon approval of Risk Assessments has been enhanced with branding and other requirements to make it able to be shared externally and allowing venues to be compliant with Risk laws in different locations.
- Risk Assessment status will no longer be automatically updated when the risk assessment is approved. The status will remain unchanged after risk assessment approval.
- Users can re-approve a Risk Assessment as many times as needed. Each approval generates a new version of the RA report. This is saved with version history and accessible in the new Approved tab on the Risk Assessment.
Other Improvements
- To help venue managers more effectively track incidents involving multiple departments, we’ve introduced two new columns on Incident reports: Primary Department and Secondary Department. These columns clearly identify which department holds primary responsibility versus supporting roles.
- We’ve improved the visual layout of checklists on job details and incident details pages to make task tracking more intuitive. The updated design introduces clear borders around checklist sections, divider lines between individual items, and arrow indicators for expandable or collapsible lists. These enhancements make it easier to scan and manage multiple checklists, helping you stay organized and focused.
- Attachments are now easier to manage across jobs and incidents. The updated system offers full visibility and consistent functionality, helping operations teams stay organized while working through complex workflows:
- Attachment handling is now unified across jobs and incidents for a smoother, more predictable user experience.
- Add, view, and remove attachments within incident checklist checks, just like in job checklists.
- Drag-and-drop files in any attachment area.
- Checklist attachments are now visible in the Attachments tab on the job or incident details page, with clear labels showing their checklist and check origin.
General
Revamped PDF Report Generation
For busy event professionals frustrated by waiting for critical reports, our redesigned PDF generation system delivers your documents without disrupting your workflow. The redesigned system now processes reports in the background, allowing users to continue working without interruption. Reports are delivered faster, with improved stability and consistent performance.
- PDF reports now generate asynchronously, allowing you to continue working without interruption.
- Receive alerts when background report generation is complete and your PDF is ready for download from the Document Manager, a new page accessed from your Profile in the left navigation bar. In the Document Manager you can also view the status of all requested reports as well as email report exports.
- Generated reports are saved in the Document Manager for 30 days, and then automatically removed to maintain system performance.
Over the coming months, we will implement this architecture to other PDFs generated from the details pages of the software, such as Incident, Risk Profile, and so on.
Other Improvements
- We’ve redesigned the details page header to improve clarity and reduce visual clutter. Important information is now easier to find at a glance, helping WeTrack users navigate pages more efficiently.
- The RAG Description can now be added as a column when customizing reports. You can sort on this column, and it will be included in report exports. The RAG Description column is available in these reports:
- Task
- Task Group
- Project
- Department
- Department Category
Resolved Issues
- Issues when using Planning Module across multiple browser sessions have been resolved. Going forward, you will observe the correct data syncing to the correct project/task entity even when multiple browser sessions are active.
- Incorrect counts on Job Category properties such as Zones or Owners have been fixed.
- Ampersands (&) will now display correctly in Account Names.
- RAG filter will now work correctly on reports.
- ID field in History Report is now populated as expected.
- Some instances where the subtasks were not visible on certain Tasks details pages has now been fixed.
