Jobs Checklist Updates
Mark checks as Important
WeTrack now enables operational staff to flag specific checks within jobs as Important, ensuring that critical issues or updates are brought to the attention of leaders and managers, and enabling department team leads to identify high-priority tasks efficiently.
Staff can also mark checks as important when they respond so that these responses are visually highlighted for clarity. In job checklist reports, a Marked as Important column has been added (enabled by default). In the report and PDF preview, the column displays Yes for responses flagged as important by team members, while unmarked responses appear blank. Leaders and managers reviewing the scheduled reports will see these flagged responses clearly distinguished from others, allowing them to prioritize attention on key tasks or concerns. This feature enhances communication and ensures that high-priority matters are addressed promptly.
Mark checks as Not Applicable
Operations Managers and their teams can now mark specific checks within jobs as Not Applicable. This feature ensures that users can focus on relevant tasks without being distracted by unnecessary or irrelevant checks. When a check is marked as Not Applicable, it will display as such in the checklist, allowing team members to concentrate on required responses. These marked checks will also appear as Not Applicable to others reviewing the job. Users can reactivate checks at any time, making them visible and editable again for team responses.
Checks marked as Not Applicable will be excluded from the Job Checklist report, which is used for monitoring checks and team activity. This ensures that only relevant checks are displayed, allowing team leads to focus on pertinent information.
Add attachments to a specific check
While completing a job, users can upload or attach pictures directly to checklist answers. These attachments will be visible alongside the corresponding answers for other team members reviewing the job, both during and after submission. Users can also update or replace images as needed, with changes reflected immediately. The feature is optional, allowing answers to be submitted without requiring an attachment, ensuring a smooth workflow. This enhancement improves communication and provides visual context for more effective report review.
Job Scheduling: Multi-Select Event Type
When scheduling a job category by event, you can now select multiple event types, providing greater flexibility and efficiency for operations managers. This enhancement eliminates the need to create separate job categories for each event type, streamlining the scheduling process and saving valuable time.
Public Incident Reporting: Copy Events from Incoming Reports
Event details can now be inherited from incoming reports. A new Copy Event from Incoming Report checkbox, selected by default, is available in the creation forms for incidents, jobs, and logs, ensuring that the associated event is linked to the created item. A report must be associated with an event for this option to appear.
This event is displayed in the details page, as a lozenge in list views, and is included when filtering by event in lists and reports. This enhancement eliminates manual data entry, ensures accuracy, and provides streamlined event-specific filtering and reporting for better task management.
Public Incident Reporting: Customize column display
WeTrack now allows users to customize the incoming reports list by including or excluding specific columns, enabling a more focused and efficient monitoring experience. Users can select from various columns, such as ID, Subject, Created, Updated, Event, Category, Status, Priority, and Comments, to tailor their view. The Title column is fixed and cannot be removed to ensure essential context is always retained. This enhancement provides greater flexibility, allowing users to prioritize the information most relevant to their tasks while maintaining clarity in report monitoring.
Risk
Notifications and Reminders
We have added a notification and a reminder to ensure risk assessments are approved in a timely manner:
- When a user is assigned as the approver of a risk assessment, they will immediately receive an email notification with details about the assessment, including the name, due date, and a link to view it in WeTrack. These notifications help approvers stay informed and review assessments in a timely manner, ensuring smoother workflows and reduced delays in approvals.
- Risk Assessment Approvers will receive an email reminder when their assigned risk assessment is due in one week and its status is not complete (is Open, Draft, or Slipped). The email will include the risk assessment name, due date, and a link to view it in WeTrack. This enhancement aims to reduce delays, improve efficiency, and provide clear, automated notifications for risk assessment approvals.
Events
WeTrack now includes a consolidated Jobs by Type section on the Event Details page, providing a streamlined view of all jobs associated with an event. Jobs are grouped by type (such as Facilities, Pre-Event Checks, Reports) and displays as expandable accordions labeled with the job type. Users can expand each accordion to view detailed information, including job titles, due dates, assigned owners, and assigned zones, all in one place. This feature enhances efficiency by enabling operations managers to easily access and review all related event tasks and their completion status from a single interface
Hub
Invitation email sent to new users
When an admin adds a new user to the Hub (assigns the accounts the user has access to, clicks Active User, and confirms the addition of a new user), an invitation email is automatically sent to the user's email address. This email includes a personalized invitation, the Hub name, and a link to log in and get started with the platform. This streamlined process ensures new users receive all the necessary information to access WeTrack promptly, improving onboarding efficiency and reducing administrative workload.
Account filters in Hub reports
WeTrack now includes the ability to filter Hub reports by specific accounts, enhancing the precision of data analysis for operations managers. When generating a Hub report for planning, control, or risk, users can now select Account as a filter option. Only accounts associated with the user's WeTrack Hub will appear for selection. Once the filter is applied, the report will display and export data exclusively for the chosen accounts. This update simplifies the review process, allowing managers to tailor insights to account-specific performance effectively
Resolved Issues
- The Inherent Risk Rating is now editable in all relevant areas.
- The Risks & Issues Tab and Actions Tab are now visible in MyTrack for General Users.
- Risk Actions now appear correctly in the MyTrack Overdue and Due Next 30 Days widgets.
- The "Show Today" marker now displays correctly in the Gantt view on the Project Details page.
- The "Risk Manager" setting is no longer enabled by default when creating a new user in Risk.
- Updating tasks in Gantt on sites with time zones far from GMT now displays the correct date.
- Display issues when adding a large number of tags to a tag group have been resolved.
- The job times in the Daily Schedule Widget no longer show a two-minute discrepancy.
- The label "Events" in the Task BI feed has been changed to "Event" to prevent conflicts with user-defined task tag groups named "Events."
