The WeTrack Planning module allows you to plan and track projects, such as accessibility upgrades or event build outs. Using Gantt charts, task dependencies, and team assignments, you can visualize progress in real time. RAG status color indicators show whether a task is on track, slipping, or complete. With the Kanban board view, drag and drop tasks between stages to keep everything moving forward.
In WeTrack, your work follows this structure:
- Projects contain tasks which need to be carried out in order for the project to be complete. A project is a distinct set of work with an achievable endpoint. It can consist of hundreds of tasks, or fewer than 20. A task is the basic unit of work in WeTrack. Tasks can last for one day or for several months; they can be insignificant actions which just require monitoring, or very important milestones without which your project would fail.
- Milestones are a type of task used to denote key steps in the project's progress.
- If needed, these tasks can be grouped into task groups, and tasks can also be divided into sub-tasks. Task groups are optional; use them to create a collection of tasks in a project which all contribute to the same piece of work or section of the project. Each task group is specific to a project and you can create task groups from any project details page.
- These tasks and sub-tasks are then assigned to one or more departments and owners (individuals), who are those doing the work.
- You can also categorize your projects and tasks using tags.

Project and Task Status
Task status is tracked using the five RAG statuses to indicate task progress; the task RAG status is used to calculate the project RAG status (see RAG Status Calculation for Projects, Task Groups, Tasks, and Departments for details).
- Not Started: Work has not started on this item. These tasks are colored grey.
- Overdue/Issues: The task is behind schedule or below required standard. These tasks are colored red.
- Slipping/No Progress: The task is falling behind or has not started on time. These tasks are colored amber.
- On Track: The task is in progress and on track. These tasks are colored green.
- Complete: The task is complete. These tasks are colored blue.
The display name for each status can be customized.

You can view project and task information on the various pages in the Planning module.
Dashboard
The Planning Dashboard displays an overview of your projects, tasks, and milestones through a set of widgets. Use the dropdown in the header to switch between available dashboard layouts or to create your own. For more details about the Planning Dashboard, see The Planning Dashboard.
Projects and Tasks Page
The Projects and Tasks page gives you a central view of all projects and tasks in the system. From here, you can view and manage projects and tasks, see aggregated information by department and department category, and filter the list to find the records you need.
The page has four tabs:
- Projects: a list of all projects in the system.
- Tasks: a list of all tasks across all projects.
- Departments: a list of all departments with aggregated task information.
- Department Categories: a list of all department categories with aggregated task information.

Gantt Chart
A Gantt chart is a visual project management tool that displays projects and tasks as horizontal bars along a timeline, showing when each task starts, how long it lasts, and how tasks overlap or depend on each other. It provides an at-a-glance view of project schedules, helping teams coordinate work, identify bottlenecks, and track progress against deadlines.
The Gantt page in the left navigation lists all projects, giving you a view of all your projects. You can also filter or search to view specific projects. Each project also has a Gantt tab on its details page where you can view just that project's tasks.
The Gantt chart view is not available on tablets or mobile.

Calendar
The Planning Calendar provides a visual, date-based view of your tasks within the Planning module. It displays all tasks you have permission to see, giving you a date-based view of scheduling and work.

History
The Planning History page displays a feed of changes to tasks and sub-tasks for the past seven days. For each item, the page displays the change that was made, when it was made, and who made it.
