Events: Event Safety Overview
In addition to viewing event details, you are now able to click an event in the Event Calendar to view and add key information—risk profiles, risk assessments, incidents, and jobs—right from the calendar view.
This enhancement enables quick assessment of whether risk profiles, assessments, and jobs have been created for an event. Should they be created/completed, this page gives an overview of an event for operations and security teams, from the risk profile score to the associated risk assessment and scheduled/created job statuses. This page supports effective event management and decision-making.
After the event, this acts a central source of truth to identify the top incident categories that were logged, enabling better forward planning for similar events. This page can easily be downloaded into a PDF.
To access the overview, click on a day in the calendar to view a list of events on that day. Click the name of the event you wish to view. Here you can:
- View key event information: Event Name, Date, Start Time, End Time, Zone, and Event Type.
- Add a Risk Profile and Risk Assessments.
- If no jobs or incidents are associated with the event, jobs and incidents can be added.
- View Risk Module Details:
- Risk Profile Summary: Displays the event’s risk profile score and a link to the full risk profile details page. Shows a summary including the Risk Profile title, score, recommended actions, and the number of questions answered.
- Risk Assessment Summary: For events with associated risk assessments, a summary widget displays the total number of risks, offering an at-a-glance view of the event’s risk exposure.
If multiple risk assessments are associated, the widget provides a consolidated total. - Click View Assessment Overview to view a page detailing risks, associated controls, and linked jobs.
- View Control Module Details:
- Job Status and Completion: Lists the job types, statuses, and completion percentages associated with the event. Managers can click ""View Jobs"" to access a filtered list view displaying all jobs specifically related to the event.
- Incident Overview: Displays the top 5 incident categories, showing severity and counts per category. Managers can click ""View Incidents"" for a filtered list view of all incidents associated with the event."
- Download a comprehensive PDF document that includes detailed information about the event, including tasks, risks, incidents, and associated controls or actions. This feature supports offline referencing and reporting to external stakeholders, ensuring important event information is easily accessible in a shareable format. Access this options via the three-dot menu in the upper-right.
Control: Public Incident Reporting
We have made several updates to the Incoming Reports page:
- We have added an Event column, allowing users to quickly identify the associated event for each incident without opening individual reports. This improvement streamlines workflows and enhances usability.
- We have also added an Event filter in the header. This allows you to view only the incident reports associated with the chosen event.
- Report subjects will now display up to 35 characters to improve usability and help users quickly understand the content of incoming reports. If a report name exceeds 35 characters, it will be truncated with an ellipsis (...) to indicate that additional text is available.
In addition, events will automatically be assigned to a public incident report if the report falls within the Event Date/Time frame. This eliminates the need for manual event associations, streamlining the assignment process and ensuring more accurate event reporting. In cases where multiple events overlap with a public incident report's time frame, no event will be assigned.
Risk
Risk Impact Library
Kick start your risk planning with the new Risk Impact Library. This library of suggested risks allows you to build your risk register with the most relevant risks based on your venue's context, ensuring planning is focused in the right places. The Risk Impact Library is based on 20+ years of venue experience and is made up of real risks that venues have planned for and include the mitigations that have been effective.
To view and use the library, go to Risk > Risks & Issues in WeTrack. A preview of the library appears at the top of the page. Click See all to view the entire library or select a risk to get started! You can add multiple risks at once, assigning ownership, impact, likelihood, and other information in bulk, all in the same workflow.
Risk Profiles
- In your Risk Profile Questionnaire settings, you can now link answers to multiple risks.
- On Risk Profile Details, there is now a How is this calculated? link under the Risk Profile score. Click this link to open a modal which explains how the risk score is determined. This feature provides transparency and helps users better understand the methodology behind the risk score calculation.
Risk Assessments
There is now an Attachments section on the Risk Assessment details page, allowing you to easily upload, view, and organize documents associated with specific risk assessments, enhancing documentation and information management.
Risk Actions
Only actions related to master risks will appear on the Risk Actions List page. This provides a clearer, more relevant view of actions without duplicates from copied or event-specific risks.
PowerBI Feed (Single Account and Account Hub)
All risks will now display in the feed, even if no associated actions are present. For risks with no actions, the fields for associated actions will display as null or remain empty.
Sustainability: Sustainability Library
Get started building your sustainability indicators using the new Sustainability Library. This library of indicators allows you to quickly identify what you wish to track, ensuring alignment with global reporting frameworks, UN SDGs, and GHG reporting standards. They can also serve as a starting point for conversation around indicators, prompting you to create custom indicators as well.
In the library you can:
- Filter indicators by context relevant to your organization.
- Select the most relevant emissions factor for each indicator according to region and other parameters.
- Add multiple indicators at once, assigning ownership and tracking details in the same workflow.
In WeTrack, go to Sustainability > Indicators to view and use the Sustainability Library. A preview of the library appears at the top of the page. Click See all to view the entire library or select an indicator to get started!
Hub
Events
An Events option has been added to the side bar menu, allowing you to access the new Events List and Events Calendar. These allow you to view events created within WeTrack or synced from Elite, across all associated WeTrack accounts.
- Events List: The Events List allows you to view, sort, and filter events. Each event entry includes key details:
- Event Name
- Account Name
- Event Type
- Event Start and End Dates
- Event Start and End Times
- Assigned Event Zone
- Assigned Event Area
- Event Calendar: The Event Calendar is a monthly calendar view which provides a comprehensive, easy-to-navigate overview of all upcoming events.
- The calendar view displays all upcoming events with essential details such as the event name, date, and start time.
- Hover over an event on the calendar to view a tooltip with detailed information:
- Account Name
- Start and End Time
- Event Title
- Event Type
- Zone(s)
- Filter the calendar by account to view the events for a specific account.
- Click on an event to open a detailed page with additional information such as risk assessment, risk profile, and associated tasks.
Risk Hub Reports
Multi-venue group managers can now generate consolidated risk reports that pull data from all associated child accounts, offering a comprehensive view of risks and incidents across venues. This new capability supports better decision-making, enhanced safety measures, and efficient monitoring of risks and incidents across all venues under management.
- Customizable report types and columns: Select from various report types and customize which columns to include in the generated report.
- Advanced filters and export options: Apply multiple filters to tailor the report and download or share the final report in PDF format. Reports can also be saved to use later, and scheduled on a regular or adhoc basis.
Resolved Issues
- A fix has been implemented to retain the expansion state of projects and task groups in the Gantt view (Planning module). Previously, expansions were not saved when users navigated between pages or logged out. This update ensures that the expansion settings are maintained when users apply filters and expand projects or task groups.
- Fixed an issue where the Event Type field in the Master Risk Details page was incorrectly restricted to single selection
- Fixed an issue in the Sustainability → Indicators detail page where the Comment icon and Update value were missing immediately after saving a new update in the Progress section; values and icons now appear as expected without requiring a page refresh.
- Fixed an issue in the Indicator Details page where the Progress Table initially displayed updates only up to a specific date; all updates are now displayed with correct pagination upon first load.
- Fixed an issue in the Control → Logs module where the Assign me as an owner option did not assign the logged-in user as the owner when creating a quick log; the quick log now correctly assigns the user as the owner.
- Fixed an issue in the Control → Jobs module where the number of checklists on a manually created job did not display on the job card until the page was refreshed; checklists now appear immediately without requiring a refresh.
- Fixed an issue where inactive users were incorrectly displayed in the Owners selector for Job Categories under Control → Jobs; inactive users are now excluded from the selector.
- Fixed an issue in Job Checklist Check Descriptions where users were unable to click into the middle of existing text to edit it directly with the mouse; the cursor can now be placed at any point within the text as expected.
